Executive Assistant / Chief of Staff Associate

We’re supporting an international fintech company in hiring an Executive Assistant to work directly with one of the company’s key commercial leaders.

This is not a classic Executive Assistant role focused on calendar management and inbox administration. The position sits much closer to operations, execution, and commercial coordination — combining elements of Chief of Staff, business operations, and VIP client management.

You’ll work across international teams and offices, coordinate high-level operational processes, and act as a trusted extension of leadership in a fast-moving environment where judgment, ownership, and communication are critical.

Over time, the role is designed to evolve into a more strategic Chief of Staff position with broader operational ownership.

What You’ll Do

International Coordination & Business Travel

  • Coordinate international business travel across multiple locations including Latvia, Luxembourg, London, and other company hubs
  • Support leadership during conferences, events, partner meetings, and international business trips
  • Coordinate with travel agencies and service providers to secure efficient and commercially reasonable travel arrangements
  • Manage end-to-end travel logistics and ensure smooth execution across schedules, accommodation, transportation, and event participation
  • Act as an operational bridge between different company offices and international stakeholders

Chief of Staff / Operational Coordination

  • Operate as a right hand to senior leadership across operational and business matters
  • Track priorities, deadlines, KPIs, and internal deliverables across teams
  • Run structured follow-ups after meetings and ensure accountability across stakeholders
  • Coordinate execution between departments and remove operational bottlenecks
  • Act as a filter between the CEO/commercial leadership and the wider team — escalating only the most critical issues when necessary
  • Help structure workflows, improve communication, and maintain operational discipline inside a fast-growing environment
  • Independently handle urgent operational matters and drive resolution where possible

VIP Client Post-Sales Operations

  • Take ownership of post-sales coordination for VIP and high-value clients
  • Guide clients through the full onboarding and activation pipeline:
    • coordinate contract preparation with legal teams
    • prepare commercial offers
    • coordinate AML/compliance onboarding
    • ensure agreements are signed
    • ensure handover to Account Management and operational teams
  • Maintain high-quality communication with clients throughout the process
  • Coordinate closely with Legal, Compliance, Operations, and Commercial teams
  • Ensure deals move efficiently from agreement stage to successful activation
  • Participate in commercial operations with performance-based bonuses tied to successful deal completion

What You’ll Bring

Must-have

  • Fluent, near-native English (UK/ USA education or work experience is a strong plus)
  • Strong written and spoken Russian
  • High level of maturity, discretion, and emotional intelligence
  • Strong organisational and coordination skills in fast-paced environments
  • Ability to operate independently and make decisions without constant supervision
  • Strong follow-through and communication discipline
  • Ability to prioritise, push back, and manage competing expectations
  • Willingness to travel internationally when required
  • Willingness to work from the office in Riga

Nice to Have

  • Experience in fintech, banking, financial services, or international B2B environments
  • Previous experience in operational coordination, Chief of Staff, or executive operations roles
  • Experience working with VIP or high-net-worth clients
  • Background in Big 4 or structured corporate environments
  • Experience coordinating complex cross-border operations
  • French is a plus
  • Diverse, international professional background
